o coordinate the selection and booking of crew contributing towards the efficient allocation of labour support across all market sectors.

Qualifications

• Previous experience working with the event industry in the same role or perhaps as a Production coordinator or Venue planner is desirable.
• Ability to work independently, demonstrating a high level of initiative.
• Approachable, proactive and outgoing.
• Good financial understanding and can manage budgets
• Ability to work to tight schedules.
• Proficient in the use of multiple IT software programmes.
• Outstanding organisational and communication skills.

Responsibilities

  • Manage the selection and booking of freelance crew.
  • Identify opportunities to maximise labour margins and efficiency across all projects.
  • Monitor and feedback on project specific labour margins and utilisation.
  • Liaise with counterparts in the PRG group globally when utilising labour resources and ensure compliance of UK supplied crew when working in non-UK territories.
  • Follow working practices, processes and compliance when compiling crew schedules in line with business requirements and legislation.
  • Feedback market trends and highlight any new labour requirements.
  • Coordinate project specific administrative duties including but not limited to;
    • Raise and issue crew purchase orders.
    • Compile and issue crew schedules and contact sheets.
    • Monitor the expiration of all crew documents including insurances, licenses and training.
    • Complete accreditation processes if required.
    • Provide a point of contact for regular crew.
    • Travel and accommodation bookings.
    • Applications for Visas and A1/E101 forms and compile European Competency Documentation.
    • Update the appropriate database accordingly.
  • Liaise with the finance department regarding any disputes or queries on any labour invoicing.
  • Implement and monitor accreditation processes.
  • Liaise with Event Services when allocating full time events staff to projects.
  • Identify and highlight new areas PRG can provide labour services.
  • Act as a point of contact for regular crew.
  • Highlight and report to the Event Staffing Manager about any crewing services related issues.
  • Undertake additional projects as directed by the Event Staffing Manager.
